No customer file before fit, quote and restricted access.
This is the concrete process for the first Spreadsheet Rescue validation. Ordinary email attachments, public links and sensitive files are refused.
1. Before any transfer
- The first email contains metadata only: purpose, file type, total rows, columns, tabs and field categories. No attachment, live values or screenshots.
- Aventoza sends a written Fit & Quote with reference, scope, exclusions, price, VAT, delivery time, acceptance tests, one correction round, transfer route and deletion date.
- The business customer accepts from its company email with an unambiguous reply such as “I accept quote [reference]”.
- The customer makes a copy, removes hidden tabs, comments, metadata, personal data, formulas, macros and external links, and confirms it may share the material.
2. Restricted transfer and work
- The customer uses its existing business OneDrive, Google Drive or Dropbox account and restricts the link to pahri@nova-ai-agency.nl. Public or “anyone with the link” sharing is not accepted.
- The customer sets the shortest available access window, targeted at seven days, and revokes access after written acceptance.
- Aventoza records filename, size and receipt time, checks the file with the computer’s active security protection and preserves one read-only source copy.
- Only a separate working copy is edited. Real values are never pasted into public AI tools, demos, portfolio files or unknown online converters.
3. Acceptance, delivery and deletion
- The agreed final file, change log and acceptance summary are delivered through the restricted business share route.
- The customer reports missing agreed items or factual processing errors within three working days, or accepts the delivery in writing. One consolidated correction round covers only the written scope.
- After written acceptance, Aventoza issues the invoice with the agreed fourteen-day payment term. No subscription or recurring charge is created.
- Source, working and delivered copies are deleted within seven calendar days after written acceptance, or fourteen days after delivery without a response. Only required quote, contract and invoice records remain.
If the material contains personal, financial, medical, HR, legal, tax or other sensitive information, or cannot be reduced to the fixed scope, the pilot does not start. This process is designed to reduce unnecessary data exposure; it is not a security, privacy or compliance certification. The process is subject to a final legal review before the first real customer file is accepted.
